Job Overview
We are seeking a detail-oriented and proactive Payments Operations Specialist to join our growing operations team. In this role, you will play a critical part in ensuring the accuracy, timeliness, and reliability of payment processing activities, supporting both internal stakeholders and external customers.
Key Responsibilities
- Monitor and process daily payment transactions, ensuring accuracy and compliance with internal policies and regulatory requirements
- Investigate and resolve payment discrepancies, failed transactions, and reconciliation issues in a timely manner
- Perform daily, weekly, and monthly reconciliations across multiple payment rails and banking partners
- Collaborate with engineering, compliance, and customer support teams to troubleshoot payment-related incidents
- Identify process inefficiencies and recommend improvements to enhance operational workflows
- Maintain accurate records and documentation of transaction disputes, chargebacks, and refunds
- Support the onboarding of new payment partners, banking rails, or processing systems
- Assist in the preparation of operational reports and metrics for internal stakeholders
- Ensure adherence to AML/KYC and other relevant compliance standards during day-to-day operations
- Escalate high-risk or suspicious transactions in accordance with established protocols
Required Experience
- 2+ years of experience in payments operations, banking operations, or a related financial services role
- Demonstrated experience handling transaction reconciliation, dispute resolution, or exception processing
- Familiarity with payment lifecycle processes, including authorization, clearing, and settlement
- Experience working cross-functionally with technical and compliance teams
- Strong analytical and problem-solving skills, with high attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple priorities in a fast-paced, deadline-driven environment
Technical Skills
- Proficiency in Excel/Google Sheets (pivot tables, VLOOKUPs, formulas) for data analysis and reconciliation
- Familiarity with SQL for querying transaction and payment data
- Experience with payment processing platforms, ledger systems, or ERP tools
- Understanding of ACH, wire transfers, card networks, or other payment rail mechanics
- Working knowledge of ticketing/case management systems (e.g., Zendesk, Jira) for issue tracking
- Exposure to API-based payment integrations or webhook monitoring is a plus
- Basic understanding of regulatory frameworks related to payments (e.g., AML, PCI-DSS) preferred
